Key Responsibilities:
1.Compliance & Regulatory Adherence:
• Ensure all cash transactions exceeding AED 55,000 are accurately submitted via the internal platform (KYC) and the Government portal (GoAML).
• Maintain strong partnership with Richemont local Finance. Audit and Security teams, while maintaining all guidelines and expectations
• Plan and deliver compliance refresher training sessions for all UAE team members to maintain a high level of adherence across all locations.
• Process sales transactions in strict accordance with required internal procedures and system guidelines.
2. Boutique Operations & Administration:
• Partner with management to support overall operations of boutique, as needed.
• Provide support for daily boutique operations, ensuring smooth workflow and efficiency.
• Manage and process Mall permit applications for the Mall of the Emirates boutique.
• Oversee and maintain the back-office area, ensuring efficient organization and tidiness.
• Prepare and organize a comprehensive, standardized filing system aligned across all UAE boutiques.
• Expertly manage the Gemini system's processes, providing continuous refresher training and support to boutique teams.
• Demonstrate proficiency and autonomy in utilizing all back-office and client-facing tools.
• Provide essential support for the invoicing process
• Review and order all relevant supplies for boutique operations on a regular basis, including stationery, pantry items, and (PLV) materials.
3. Product & Inventory Management:
• Receive shipments of new products, conducting thorough quality control checks at the Boutique level before merchandising.
• Accurately price tag all new inventory items.
• Utilize and maintain the stock management tool, ensuring accurate and timely updates of monthly stock count results.
• Plan and assist in daily and monthly stock-taking activities for all sellable and non-sellable items within the boutique(s) environment.
• Actively participate in proactive boutique stock orders and order projections through detailed stock movement analysis. (Specifically, accessories)
4. After-Sales & Client Service Support:
• Conduct daily, weekly, and monthly checks of the Customer Service Anomaly report to monitor repair statuses.
• Follow up and coordinate with Sales Associates regarding repair statuses and ready repairs.
• Conduct monthly inventory of repairs within the boutique(s).
• Ensure Sales Associates effectively promote the pre-approval repair option to clients.
• Verify that a quality check has been completed on all repaired items before client collection.
• Ensure clients receive timely email communication regarding repairs ready for collection, in line with audit requirements.
5. Represent Brand Identity, Act as a Maison ambassador
• Act as an Ambassador for the Brand, ensuring the integrity of its image with clients and within the local retail community.
• Adhere with Passion to the values and rituals of presentation established by the Maison.
6. Team Collaboration & Client Experience Support
• Develop a positive, trusting relationship with the team
• Ensure proper understanding and execution of all brand guidelines and procedures among the team.
• Provide support on the shop floor and during special events as required. Assist with hospitality during sales presentations when needed, enhancing the client experience.
• Support invoicing and product wrapping in strict adherence to Vacheron Constantin guidelines.
Required Skills & Qualifications:
• Experience in an administrative or operations support role within a luxury retail environment.
• Strong organizational skills with meticulous attention to detail and accuracy.
• Proficiency in administrative tasks, including filing, data entry, and system management.
• Ability to manage multiple tasks and priorities effectively in a fast-paced environment.
• Excellent communication and interpersonal skills, with the ability to collaborate effectively with various teams.
• Familiarity with compliance procedures (e.g., KYC, GoAML) is highly desirable.
• Proficiency in Microsoft Office Programs (Excel, Word, Outlook) and experience with stock management system.
• A proactive, autonomous, and service-oriented mindset.
