KEY RESPONSIBILITIES
Sales Operations & Administration for all retail network
- Client and prospects data input
- Sales registration (cashier system, database)
- Ensure compliance and audit in collaboration with office.
- Verify and follow up of customer payments and VAT-off sales.
- Handle store vendor management and payment for Ginza.
- Manage store petty cash and T&E spending with Boutique Manager.
- Manage after sale service from reception, tracking to delivery, handle customer enquiries.
- Ordering store supply and stationery. Replenish and order model stock, accessories, POS materials & marketing materials (displays, food, drinks, sales tools…).
- Review working shifts, leave & overtime records.
- Key user for BTQ IT system and reporting tools, support Ginza and other BTQ questions regarding all those tools. If needed, travel to other BTQ to train new comers on the system.
Support of Supply chain and Operation manager/Logistics; for all retail network
- Be the delegate for Tokyo office Operation and Merchandising manager when off for stock transfers and allocation matters, buckles and strap orders, create associated purchase orders.
Stock Management
- Product reception and process deliveries at BTQ, Ginza BTQ inventory control and follow up on shipments, transfers and consignments to maintain inventory accuracy.
- Ensure stock monitoring, sales, back orders and deposit lists in Ginza BTQ is done according to guidelines, help other BTQ to perform operations accurately.
- Collect special order requests from the boutiques and collaborate with Operation and Merchandising manager.
- Accurate fulfilment of the “defect watch report” and tracking of the defective watches.
- Oversee product consignments and carnet management for Ginza BTQ.
Allocation Distribution
- Help BTQ to create priority of back orders and liaise with Operations and Merchandising manager to get the stock on time and according to events / sales target.
- Coordinate high-end, limited timepiece stock movements. Execute the limitation timepieces allocation precisely.
- Build and control with BTQ manager sample watches / novelties sample schedule for Ginza
BTQ Sales Support
- Support client-facing team with completing back-office tasks during and after selling ceremonies, tasks where client-facing team must leave the client alone.
- Conduct selling ceremonies when all the client-facing team members are occupied with clients, until someone becomes free.
Planning & Analysis
- Monitor weekly & monthly forecast with BTQ manager
- Maintain and ensure daily clientele book and data entry quality
- Support monthly store meeting and report
Client data and Marketing Activation
- Maintain event client list by collaborating with office team, link client ID with event ID in the CRM tool.
- Ensure product availability for events, campaigns, launch plans, and BTQ action plans.
- Ensure timely and accurate report on leads / sales after events
- Order and track customer gifts
- Harmonize the above way of working with other BTQs.
JOB REQUIREMENTS
- Diploma or Degree in Business Administration, Retail Management, or a related field.
- 1-2 years of experience in a similar role, preferably in luxury retail or boutique operations.
- With prior sales experience is a plus.
- Language proficiency: English is a strong plus, other Asian language is a plus
- Familiarity with inventory management systems, SAP and customer relationship management (CRM) software is beneficial but not mandatory.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint) and retail software.
- Strong attention to detail and problem-solving skills.
- Exceptional communication and interpersonal skills.
- The job requires occasional travels to Tokyo office, other BTQs in Tokyo, Nagoya Osaka.
- Work on BTQ shifts including weekends.
