HOW WILL YOU MAKE AN IMPACT

As the Executive Assistant to the Managing Director for the Turkey market, you will play a pivotal role in maximizing the Managing Director's effectiveness. You will ensure seamless executive coordination, communication, and follow-up across teams, acting as a proactive, structured, and solution-oriented partner. Your high level of discretion and sound judgment will be essential in managing sensitive information and anticipating needs.

Reporting directly to the Managing Director, you will be responsible for the following:


Executive Support & Coordination:

  • Manage and optimize the Managing Director’s calendar, meetings, travel arrangment
  • Prepare comprehensive meeting agendas, briefing materials, presentations, and key documents.
  • Coordinate follow-up on key decisions, actions, owners, and deadlines, ensuring timely execution and flagging topics requiring the Managing Director's immediate attention.
  • Prepare confidential correspondence and handle sensitive information with the utmost discretion.
  • Manage expense reports and provide selected administrative support for the Managing Director.
  • Support the preparation and coordination of key leadership meetings.gements, and logistics, proactively anticipating scheduling conflicts and prioritizing according to business needs.

Executive Communication & Stakeholder Coordination:

  • Act as a central coordination point between the Managing Director, the market leadership team, regional teams, and other internal and external stakeholders.
  • Support the preparation of key messages, presentations, and communications on behalf of the Managing Director.
  • Coordinate senior stakeholder visits to Türkiye, including agenda development, logistics, and preparation.
  • Ensure continuity and follow-up on key stakeholder discussions and commitments.
  • Facilitate effective information flow while maintaining the required level of confidentiality and discretion.

Internal Communication:

  • Coordinate internal communications for the market, including leadership messages, announcements, and organizational updates.
  • Support the preparation and organization of town halls, management meetings, and key internal events.
  • Ensure consistency, appropriate timing, and quality of all internal communications.
  • Support communication efforts around key market priorities, achievements, and organizational developments.

Executive Rhythm & Special Projects:

  • Support the Managing Director in maintaining the market’s executive rhythm, including leadership meetings, key milestones, priorities, and follow-ups.
  • Coordinate selected cross-functional projects as directed by the Managing Director.
  • Proactively identify opportunities to simplify processes and improve overall coordination and organizational effectiveness.
  • Support selected strategic initiatives requiring cross-functional coordination.
  • Maintain visibility on key commitments and ensure appropriate follow-through across teams.
  • Provide coordination support to the Retail team during selected high-traffic periods and key commercial moments when additional assistance is required.

  • Proven experience in executive assistance, coordination, project management, communications, or a similar role within a fast-paced international environment.
  • Experience working with senior leaders or within a matrix organization is a significant advantage.
  • Exceptional organizational and prioritization skills, with a strong ability to anticipate needs and work with limited supervision.
  • A high level of discretion, integrity, and sound judgment, particularly when handling confidential and sensitive information.
  • A proactive, hands-on, and solution-oriented mindset with strong follow-through to drive actions to completion.
  • Excellent written and verbal communication skills, with confidence in interacting with senior internal and external stakeholders.
  • Strong interpersonal and emotional intelligence, enabling effective navigation of a complex and fast-moving matrix organization.
  • Advanced proficiency in Microsoft Office Suite (PowerPoint, Outlook, Word, Excel).
  • Ability to manage multiple priorities and adapt quickly to last-minute changes.
  • A strong service mindset combined with ownership and sound judgment, comfortable respectfully challenging priorities or ways of working when appropriate.
  • Fluency in both Turkish and English is essential.
  • High level of flexibility and adaptability, with a willingness to occasionally support exceptional business needs outside standard routines.
