FINANCE PROJECT ASSISTANT
Administration
- Updating and maintaining of department trackers (Licences, permits, insurance, BI, events, trademark certificates)
- Obtaining the signature of the authorized signatory for relevant documents
- Creation of 2 monthly expense reports for Corporate and Purchasing cards and timely submission in Concur
- Maintaining and tracking of Insurance and permit requests at the “Hub”
- Assistance on the preparation of department powerpoints/presentations
- Filling of relevant forms as needed
Operations
- Insurance
- Request and follow up with Group Insurance on the issuance of the certificate (GL, PDBI) for events and boutique openings or claims when required /
- Ensuring timely distribution of certificates to the relevant stakeholders
- EventHub
- Track events that needs action from FPM team (entertainment permits and insurance)
- Licenses
- Track upcoming license renewals or obtaining and follow up with relevant third-party (SECURITY, PRO, LAWYERS)
- Ensuring timely distribution of new/renewed trade license copies to the relevant stakeholders
- Permits
- Application of entertainment permit from DET for Maison events (if required)
- Attending and participating in department meetings and meetings pertaining to Maison events
- Non-financial reporting
- Gathering data and coordination with data owners for Q2 reporting HOW WILL YOU EXPERIENCE SUCCESS WITH US? - Bachelor's Degree or Equivalent Level required - Experienced practitioner able to work unsupervised - Experience in general supervision of more junior colleagues
